Event Cancellation & Rescheduling Policy
1. Introduction This Event Cancellation & Rescheduling Policy ("Policy") governs cancellations, rescheduling requests, Event Credits, refunds, booking modifications, and related matters for all bookings made through the Creative Caricature Club™ Booking Portal and other authorized booking channels. By submitting a booking, making a payment, confirming an event, or using the services of Creative Caricature Club™, the client acknowledges that they have read, understood, and agreed to this Policy. 2. Booking Confirmation A booking shall be considered confirmed only when required booking details have been submitted, the applicable advance payment has been successfully received, and booking confirmation has been issued by Creative Caricature Club™. Once a booking is confirmed, event dates, artist availability, operational resources, scheduling capacity, and administrative resources may be reserved exclusively for the client. 3. Client-Initiated Cancellation A. Cancellation More Than 30 Days Before Event Date If a cancellation request is received more than 30 calendar days before the scheduled event date: cancellation may be permitted; refund or Event Credit eligibility may apply; a fixed Administrative & Processing Fee of ₹5,999 shall be deducted from the refundable booking amount. Important: Convenience Fees, Payment Gateway Fees, Platform Fees, Processing Charges, Taxes, and similar transaction-related charges are non-refundable. Such charges are separate from the booking amount and are incurred during payment processing. Refund calculations shall be based only on the eligible booking amount received by Creative Caricature Club™. Example: Advance Booking Amount ₹30,000 + Convenience Fee Paid ₹750 = Total Paid ₹30,750. Administrative & Processing Fee ₹5,999. Eligible Refund / Event Credit = ₹30,000 − ₹5,999 = ₹24,001. The Convenience Fee of ₹750 shall not be refunded. Creative Caricature Club™ reserves the right to issue the approved amount as an Event Credit instead of a cash refund. B. Cancellation Between 15 and 30 Days Before Event Date Up to 50% of the advance booking amount may be eligible for refund or Event Credit. Convenience Fees, Payment Gateway Fees, Platform Fees, Processing Charges, Taxes, and similar transaction-related charges are non-refundable. The remaining amount shall be retained to cover artist allocation, scheduling commitments, administrative costs, operational expenses, and opportunity losses. Creative Caricature Club™ reserves the right to determine the final eligible amount. C. Cancellation Within 14 Days of Event Date No refund shall be provided. No Event Credit shall be issued. Creative Caricature Club™ may, at its sole discretion, offer one complimentary rescheduling opportunity subject to artist availability and operational feasibility. D. Cancellation Within 7 Days of Event Date No refund shall be provided. No Event Credit shall be issued. No rescheduling guarantee shall be provided. Any travel, accommodation, artist allocation, logistics, scheduling, administrative, and operational costs already incurred shall remain non-refundable. 4. Event Credits Where approved, Creative Caricature Club™ may issue Event Credits instead of cash refunds. Event Credits shall be credited to the client's account, may only be used for eligible future bookings, are non-transferable, are non-withdrawable, are not redeemable for cash, are not refundable, and may not be sold, gifted, assigned, or exchanged. Creative Caricature Club™ reserves the right to determine Event Credit validity periods, eligibility criteria, and usage restrictions. Unless otherwise specified, Event Credits shall remain valid for up to 12 months from the date of issuance. 5. Complimentary Rescheduling Clients may request event rescheduling. Creative Caricature Club™ may permit one complimentary reschedule per booking, subject to artist availability, operational feasibility, venue accessibility, event requirements, and scheduling capacity. Rescheduling is not guaranteed and remains subject to approval. 6. Additional Rescheduling Requests Any rescheduling request beyond the first approved reschedule may be declined, may be subject to additional fees, may require revised pricing, and may require issuance of a new quotation. Creative Caricature Club™ reserves the right to determine eligibility. 7. Changes to Event Requirements Changes including event date, event location, event timing, event duration, number of artists, guest count, venue requirements, or service scope may result in revised quotations, additional fees, operational adjustments, and updated payment requirements. All changes remain subject to approval. 8. Travel, Accommodation & Third-Party Expenses For outstation events, Creative Caricature Club™ may incur expenses including flights, train tickets, local transportation, accommodation, logistics arrangements, and third-party vendor costs. Any such expenses already incurred may be deducted from any eligible refund or Event Credit amount. Non-refundable third-party expenses shall remain non-refundable. 9. No-Show Events If the client fails to attend, the venue is inaccessible, required permissions are unavailable, event arrangements are not ready, or the event cannot proceed due to client-related reasons, the booking may be treated as a client cancellation. In such cases no refund shall be provided and no Event Credit shall be issued. 10. Force Majeure Creative Caricature Club™ shall not be liable for delays, cancellations, or inability to perform due to circumstances beyond reasonable control, including natural disasters, floods, earthquakes, severe weather conditions, government restrictions, public emergencies, transportation disruptions, civil unrest, epidemics, and pandemics. In such situations, Creative Caricature Club™ may offer rescheduling, Event Credits, alternative arrangements, or other remedies at its discretion. 11. Creative Caricature Club™-Initiated Cancellation In the unlikely event that Creative Caricature Club™ is unable to fulfil a confirmed booking due to operational reasons, Creative Caricature Club™ may provide a suitable replacement artist, offer event rescheduling, issue Event Credits, or provide a refund where applicable. The remedy offered shall be determined based on the circumstances. 12. Promotional Wallet Credits Promotional Wallet Credits, including bonuses, rewards, incentives, or promotional benefits, are not refundable, not withdrawable, not redeemable for cash, and not transferable. Promotional Wallet Credits shall not be treated as refundable booking payments. 13. Submission of Requests Cancellation and rescheduling requests must be submitted through approved communication channels recognized by Creative Caricature Club™. The effective date and time of the request shall be determined based on the date and time the request is received. 14. General Refund Rules For the avoidance of doubt: Convenience Fees are non-refundable; Payment Gateway Fees are non-refundable; Platform Processing Charges are non-refundable; Taxes and government charges, where applicable, may be non-refundable. Only eligible portions of the booking amount may be considered for refund or Event Credit under this Policy. 15. Final Decision Creative Caricature Club™ reserves the right to review each cancellation, rescheduling, refund, and Event Credit request individually. Creative Caricature Club™ shall have the final authority regarding refund eligibility, Event Credit issuance, rescheduling eligibility, applicable deductions, administrative charges, and supporting documentation requirements. All decisions shall be final, subject to applicable law. 16. Policy Updates Creative Caricature Club™ reserves the right to modify, revise, suspend, replace, or update this Policy at any time without prior notice. Continued use of the platform or services shall constitute acceptance of the latest version of this Policy.
